Overview of The Paris 2024 Project
The project was an all-in-one platform that handled everything from object configuration to resource planning. Chantal, as the Paris 2024 Project Operations Director, had played a crucial role in integrating the different FAs into this new platform. She had liaised with stakeholders across the board, ensuring smooth adoption and execution. Her focus on training, support, and communication had ensured that every team member and partner was onboarded effectively.
Chantal says, “Working on the Paris 2024 project with OnePlan has been a very exciting experience. Our team was integrated into the Paris 2024 team and we worked together as one team to successfully deliver such a platform for the first time ever. Starting from a white page in early 2022 and seeing the operations planned by the FAs in the tool before the Games, and finally discovering the real venues that we had seen for 2 years in 3D when the Games started has been a huge reward and made us all feel very proud of such an achievement. Looking back makes me realise we had a true partnership and collaboration spirit with all stakeholders.”
OnePlan acted as a central hub for managing the logistics of one of the world's largest international events. It facilitated smooth collaboration, optimised resource management, and improved decision-making across all levels of the organisation.
The placement of infrastructure such as barriers and fencing, vehicles, teams and volunteers, and so much more, can easily be positioned in one central plan thanks to GIS mapping. Event planners, partners and suppliers can work together in real-time, to plan ahead for any scenario, reducing risk at venues and their surrounding areas. The tools also improve the consideration of disability in society through improved visualisation and planning for spectators requiring assistance.
The level of detail and collaboration OnePlan provided streamlined the processes for the Organising Committee for the Olympic and Paralympic Games Paris 2024 and its stakeholders.
Working with the Wider Team
One of the key challenges in a project as large as the Paris 2024 Games is coordination across multiple Functional Areas (FAs), each with its own specific needs. The platform had to address these needs while being adaptable enough to integrate feedback and evolving requirements from different departments.
Karim, as the Product Manager, was responsible for translating customer needs into actionable product requirements. He worked closely with Paris 2024 and its FAs to define functionality that would not only meet but exceed expectations. He collaborated with technical and design teams to ensure that the platform was user-friendly, efficient, and scalable, allowing for a smooth product launch.
Max played an equally vital role by organising workshops with the FAs to capture their unique requirements. He was responsible for configuring over 45,000 objects within the platform, giving each FA the tools they needed to operate smoothly. His ability to maintain strong relationships between OnePlan and Paris 2024 ensured effective communication and problem-solving during the development phase.
"I organised numerous workshops with different functional areas and the venues themselves to understand their requirements while maintaining a positive relationship between OnePlan and Paris 2024."
Gaëlle, the Training Manager for Major Events, played a critical role in ensuring that all users were fully equipped to operate the platform. Her training programs were tailored to the needs of Paris 2024 FAs, using a combination of in-person sessions, webinars, and hybrid approaches. She ensured that all staff, contractors, and stakeholders were fully trained, and she led onboarding efforts for new users as well.
Finally, Victor and Pierre, as Customer Success Managers, ensured the smooth running of the platform by establishing robust support processes. They created user documentation and managed technical support channels, working closely with Atos and other stakeholders. Their involvement extended into 3D venue modelling, which played a crucial role in visualising competition venues in real-time.
Overcoming Planning Challenges
The sheer scale of the Paris 2024 Games posed significant challenges in terms of planning and coordination. Each FA had its own set of objectives, requirements, and operational hurdles, all of which needed to be aligned within a single platform.
One of the primary challenges was ensuring that the platform could handle the diverse needs of various departments - from technology to security to volunteer services. To overcome this, Chantal and Karim worked closely with the FAs to gather insights and feedback early on, ensuring that the product’s features were aligned with operational demands.
In addition, logistical challenges arose around the integration of 3D venue models. Victor and Pierre tackled these issues head-on by collaborating with the SPT teams, ensuring accurate and timely information was fed into the platform. This collaboration was crucial for ensuring a smooth operational flow for both planning and in-event execution.
The need for cross-departmental collaboration was another potential hurdle, and this was addressed by Max through his workshops and continuous engagement with FAs. His efforts ensured that every FA’s needs were captured and addressed, facilitating a smoother planning process.
